Grand Historian Report 2013-2015

 

It has been an honor to serve the Fraternity this term. Below is an accounting of my activities as Grand Historian.

 

My two primary goals for the term were to create an organization system where information could be updated and stored using a standard format and to find a way to make our history documents and information more assessable to the Brothers. 

 

Creation of an organization system

·      A computer folder was created for every Chapter and Province to store history documents in a permanent location

·      Example:

·      A standard nomenclature for naming documents was created to more easily sort information. All files were updated to the new process.

o   File names to begin with the Chapter or Province name followed by the year (then season/month if relevant) and then the descriptor of the document

o   Examples:

§  Alpha Beta Gamma 2013 Chartering article for The Mask

·      Information traditionally maintained by the Grand Historian was organized into single excel documents (award recipients, international executive committee members, chapter charter dates, etc.)

o   Information from the History books was added to the Historian documents allowing viewing all the information in one location

o   Creation of a single document allows a standard process for future updates

 

Allow increased access of history documents to the Brothers

·      Using Google Drive, electronic folders were created for all Chapters and Provinces that contain documents received by the Grand Historian

·      Example:

·      The electronic folders are shared with anyone that logs into Google using a kappapsi.org email address.

o   Files in the folder can be viewed and downloaded allowing chapters to find information on file with the Grand Historian

·      The process for submitting Chapter History Reports was updated to allow electronic submission by completing a Google Doc survey

·      All chapters had an individual Chapter History Report created with the Responses document added to their Chapter History Folder. 

o   Benefits of Chapter specific electronic Chapter History Reports

§  The information will update and be available immediately for viewing in the chapter history folder

§  One comprehensive history document will be created over time as the information submitted each year adds to the previous data

§  Google Doc storage does not count against the storage limits allowing increased information to be kept in the Chapter History Folders

·      In the Grand Historian Google Drive a shared folder was created that stores documents of general historical interest

o   Access is available to anyone logging in with a kappapsi.org email account

o   Kappa Psi International History Folder

·      Working with the Editor of the Mask and the Executive Committee the policy on The Mask was updated to allow electronic access at the end of every academic year.
